At Knopen-Kralen you order buttons and sequins, and to do that we need some of your details. This privacy policy explains which details those are, what we use them for, who we share them with, how long we keep them and what your rights are. We comply with the General Data Protection Regulation (GDPR).
1. Who we are
Knopen-Kralen is responsible for the use of your personal data.

Do you have a question about your data? Feel free to email us.
2. Which data we use and why
Your order
To process and deliver your order, we use your name, address, email address, your phone number if you provide it, the products you order and the payment status. We need these details to perform the purchase agreement with you. We keep order and invoice data for 7 years, because Dutch tax law requires us to.
Your customer account
An account is not required: you can also order as a guest. If you do create an account, we store your name, email address, your password (encrypted, so that even we cannot read it), your addresses, your order history and, if you fill them in, your title and date of birth. This saves you entering your details again each time. We keep your account until you ask us to delete it. Data we are legally required to keep, such as invoices, is kept until that retention period has ended.
Contact
If you email us or use the contact form, we use your name, email address, your message and, where relevant, your order number to help you. We do this because we want to help you properly (legitimate interest). We keep messages for up to 2 years after our last contact.
Newsletter
Only if you sign up, we occasionally send you a newsletter about new products and offers. For this we use your email address and, if we have it, your name. You can unsubscribe at any time: via the link in the newsletter, in My account or by emailing us. After that, we will not send you any more newsletters.
Payment
You pay online via Rabo Smart Pay from Rabobank, or by regular bank transfer. For an online payment, you enter your bank details on the secure payment page of Rabobank or your own bank; we never see those details. We only receive the payment method, the amount and whether the payment succeeded. With a bank transfer, we see your name and account number on our bank statement.
Website security
Our server keeps logs that include your IP address, the time and the page visited. We only use these to keep the website secure and to find errors. Logs are deleted automatically after about 3 months. To prevent spam when creating an account, we use a simple question of our own; no data is sent to other parties.
3. Who we share your data with
We never sell your data and only share it when necessary:
- PostNL: your name and address, to deliver your order.
- Rabobank (Rabo Smart Pay): the amount and an order number, to process your online payment.
- Microsoft (Microsoft 365): for our email, such as your order confirmation and the questions you email us. The data is stored in data centres in the European Union.
- Hosting and technical management: the shop runs on a dedicated server in the Netherlands, technically managed by Awesome Design. Backups are stored encrypted in the Netherlands.
- AI assistant for technical management: our technical administrator uses an AI assistant (Claude by Anthropic) when maintaining the shop. Data from the shop, such as a name or email address, may occasionally be visible to it, but only as far as needed for that maintenance.
- Accounting: invoices go to our accountant, for the statutory accounts.
- Authorities: only if the law requires us to, for example the Dutch Tax Administration.
We make agreements on security and confidentiality with parties that process data for us. Your data is stored within the European Union. Only when the AI assistant is used may data occasionally be processed in the United States. This is covered by the safeguards of the GDPR, such as the EU-US Data Privacy Framework or the European Commission’s standard contractual clauses.
4. Cookies
We only use cookies that are needed for the shop to work: a cookie that remembers your cart, language and login (it expires after 20 days) and a session cookie (it expires when you close your browser). We do not use cookies for statistics, advertising or social media, and we do not track you on other websites. That is why we do not ask for cookie consent.
5. How we protect your data
- The whole website uses a secure connection (https).
- Passwords are stored encrypted.
- Only we and our technical administrator have access to the data, with their own strong passwords.
- We keep the software up to date and make a backup every day. Backups are kept for no more than 6 weeks.
If something does go wrong with your data, we will report it to the Dutch Data Protection Authority and to you where required.
6. Your rights
It is your data. You have the right to:
- access your data;
- have incorrect data corrected;
- have your data deleted;
- receive your data in a file, so that you can use it elsewhere;
- object to the use of your data, or have its use restricted;
- withdraw your consent, for example for the newsletter.
You can arrange a lot yourself in My account: there you can update your details, and under My personal data you can download all your data or request deletion. You can also email info@knopen-kralen.nl. We respond within one month. To make sure nobody else requests your data, we may ask you to confirm that the request comes from you.
Not happy with how we handle your data? Please let us know first; we are happy to sort it out together. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or with the data protection authority in your own country.
7. No automated decisions
We do not make decisions about you that are taken solely by a computer, and we do not create a profile of you.
8. Changes
We may update this privacy policy, for example when the shop changes. The latest version is always on this page, with the date at the top.
